MISSION / SUMMARY:

General responsibilities of an Executive Assistant include handling office tasks and administrative duties, such as directing communications between colleagues and customers, managing executive calendars, organizing schedules and events or meetings (including audio & visual and meals), booking travel, completing T&E reports, managing files, entering data and processing invoices. Some EAs are especially engaged in taking detailed meeting minutes and preparing visual aids such as PowerPoint decks.  Various other tasks are frequently assigned by their managers.

  • Calendar Management
  • Travel Arrangements & Planning (International & Domestic)
  • Local Transportation Scheduling (Limo & Sprinter Schedule)
  • T&E Expense Reports
  • Meeting Planning & Event Host
  • Material Preparation & Printing (Letters, PowerPoints, etc.)
  • Meal Coordination
  • Invoice Processing / Check Requests (For Assigned Functions)
  • Vendor Contract Processing (For Assigned Functions)
  • Other projects/work as assigned. 

BACKGROUND / EXPERIENCE:

  • Demonstrated experience as a proactive executive partner in a face paced work environment. 

EDUCATION / KNOWLEDGE:

  • Four-year degree preferred or equivalent combination of education and experience.
  • Compensatory closely related work experience required in lieu of degree. 

SKILLS:

  • Office management and coordination.
  • Microsoft O365 Suite (MS Team, PowerPoint, Word, Excel, and Outlook).
  • Event planning.
  • Project management.
  • Customer relationship management.
  • Effective gatekeeper and liaison.
  • Must be skilled at multi-tasking.
  • Proactively develop solutions.
  • Deliver timely results. 

SCHEDULE DEMANDS:

  • General schedule is an 8-hour M-F assignment, however, employee must be willing to work alternate schedules occasionally; that may include early mornings, nights, and/or weekends and be punctual while doing so.
  • Occasional overnight travel to include flying, driving, riding or by rail. 

PHYSICAL DEMANDS:

  • Sitting or standing for extended periods of time up to 8-hours.
  • Occasional Lifting up to 20 lbs.
  • Reading computer screen or other electronic devices.
  • Use of various office hand and electrical tools or equipment.
