Administrative Assistant III




This position reports to the Resident Mill Manager and will provide best-in- class expertise to fully support the Kalamazoo Mill.  Its purpose is to provide Mill administrative leadership and assist the Mill management function for a 400 employee, unionized (USE), 3000 TPD paperboard mill in Kalamazoo Michigan.  The position will work closely with the HR department to on employee initiatives and activities.  They understand and align business operations as he/she executes their role to exceed customer expectations and align with GPI business, cultural, financial and operational objectives.

JOB FUNCTIONS: Job functions include, but are not limited to the following.


  • Coordination of Mill Management daily/weekly/monthly/ appointments and schedules.
  • Coordination and execution of Mill Management daily/weekly/monthly/annual reports and documents.
  • Management and coordination of visitors/vendors/salespersons seeking Mill leadership contact.
  • Development and coordination of Mill Management travel and meeting plans.
  • Lead and Manage annual CEO and VIP visits to the Kalamazoo Mill.
  • Lead and Manage any other special guest visits to the Kalamazoo Mill.
  • Develop and broadcast Mill Management internal communications to appropriate areas.
  • Maintain and coordinate vacation schedules for Mill Management personnel.
  • Manage Mill Management files and records.
  • Assist in the Mill Management service rewards and employee recognition functions.
  • Responsible for 5S in the Administrative floor office areas, meeting rooms, etc.
  • Works as a team player to assure that all aspects of Mill Management is handled in a timely manner and professionally.
  • Assist and work with all other departments within the Mill or other areas of the company as required.
  • Maintains and inventories Mill Management supplies and support needs.
  • Other duties as assigned.




  • 5 years of demonstrated performance in a fast-paced administrative support role. Proficiency in MS Office software. Proficiency and experience in internet/administrative based applications such as Concur and SAP is highly preferred.



  • High School diploma of equivalent required.
  • BS Degree, preferred



  • Able to work in a fast-paced environment.

  • Able to convey a sense of urgency and drive to perform and deliver expected results to the organization.




  • General schedule is an 8-hour M-F assignment, however, employee must be willing to work alternate schedules occasionally; that may include early mornings, nights, and/or weekends and be punctual while doing so.
  • Participates in the on-call rotation
  • Occasional overnight travel to include flying, driving, riding, or by rail.





  • Sitting or standing for extended periods of time up to 8-hours.
  • Occasional Lifting up to 20 lbs.
  • Reading computer screen or other electronic devices.
  • Use of various office hand and electrical tools or equipment.
