General Purpose:

The Production Planning Coordinator supports the execution of daily production planning, scheduling, and material coordination activities to ensure efficient manufacturing operations. This role plays a key part in maintaining accurate production schedules, ensuring raw materials are available when needed, and supporting inventory accuracy.

The position works closely with Production Supervisors, Purchasing, Receiving, and Customer Service to align production schedules with operational capacity and customer demand.

Key Competencies:

  • Organizational Skills: Able to prioritize tasks and manage multiple deadlines in a fast-paced environment.

  • Attention to Detail: Maintains data accuracy in schedules, inventory, and system records.

  • Communication & Collaboration: Effectively coordinates with cross-functional teams, including production, purchasing, receiving, and customer service.

  • Problem-Solving: Identifies issues in production planning and material availability and implements solutions.

  • Technical Proficiency: Competent in ERP systems (AS400 preferred) and Microsoft Excel.

 

Key Responsibilities:

Production Scheduling:

  • Maintain and update the daily production schedule to support operational priorities.

  • Add and manage production orders within the production schedule.

  • Print and distribute daily production schedules to operations teams.

  • Coordinate schedule adjustments with production supervisors to address changes in capacity, material availability, or customer demand.

  • Monitor schedule adherence and communicate risks or delays.

Material Planning & Procurement:

  • Order raw materials including board, sheets, and corrugate to support production requirements.

  • Allocate board materials to production orders.

  • Coordinate outsourced sheeting requirements.

  • Track open purchase orders and follow up with suppliers as needed.

  • Escalate board supply issues or shortages. 

 Inventory & Material Coordination:

  • Support raw material inventory management and reconciliation activities.

  • Conduct bi-weekly aged inventory reviews.

  • Perform daily sheeter staging reconciliation.

  • Complete weekly inventory adjustments and cycle count updates.

  • Maintain weekly inventory dashboards and reporting.

  • Coordinate incoming raw material deliveries and book receiving appointments.

  • Reconcile incoming delivery documentation and follow up with carriers when needed.

  • Follow up with departments on material shortages or discrepancies.

Cross-Functional Coordination:

  • Communicate with production, receiving, purchasing, and customer service teams to ensure alignment on scheduling and materials.

  • Provide coverage and support for planning and scheduling functions when required.

  • Respond to planning and material related inquiries from internal stakeholders.

 Minimum Qualifications:

  • 3–5 years’ experience in production planning, scheduling, supply chain, or manufacturing coordination.

  • Bachelor’s Degree or a combination of related education in the field of Production Planning/Procurement 

  • Strong knowledge of inventory processes and procedures.

  • Strong ability to problem-solve and implement solutions.

  • Requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced manufacturing environment.

  • Strong skills in MS Office - Word and Excel.

  • Experience working in a manufacturing environment is strongly preferred.

  • Experience with ERP systems (AS400 preferred).
