Shipping & Receiving Coordinator

 

Job Description

As a Shipping & Receiving Coordinator you are responsible for the operation of the Shipping, Receiving functions of the Stone Mountain, GA facility.

 

  • Ensure workload is completed safely in an accurate timely manner within goals and guidelines. 
  • Inspect all paperwork and ensure all is handled properly
  • Work with a “Safety First” mindset 
  • Operate equipment, Receive, Ship and perform Inventory Cycle Counts
  • Schedule trucks through GPI systems such as SAP and TMS
  • Verify and keep accurate records on incoming and outgoing shipments
  • Work closely with Production Control, Production and Maintenance
  • Oversee the receiving of raw materials and other miscellaneous material, visually inspect for damage, verify count, quality, and accuracy, and ensure transport of the materials to the designated production department in a safe and damage-free manner

 

 

Warehouse Coordination:

  • Ensure inventories are accurate
  • Material handling and all dock equipment is functioning properly as intended.
  • Enter Maintenance work notification
  • Complete Daily, Weekly, and Monthly standard work
  • File and process paperwork in accordance with the established procedures
  • Complete / Audit SQF cleaning procedure for Shipping

 

Receiving:

  • Inspect, receive into the computer system in a timely manner so Inventory is accurate, and help to coordinate the receiving of product and raw materials against packing slip.
  • Receiving, unloading production supplies, staging materials in specified areas, sign and date the tally.
  • Notify buyers once materials are received and any discrepancies between actual shipment received and packing slip and/or Purchase Order.
  • Inspect items for shipping damage. Document all damage found on corresponding receiving tally and include the following information:  description of damage, amount of damage
  • Assist with preparation of shipment including taken pictures, writing Bill of Lading/s (BOL) and other required documentation.
  • Dispose of scrap material when authorized.
  • Copy, distribute, and collect the following documents daily:
  • Generation of Bills of Lading and delivery notes for transport orders
  • Back-up for scheduling inbound delivery appointments in outlook calendar
  • Must be able to work overtime as scheduled with or without advanced notice
  • All packages received via UPS, Fed Ex, Airborne, or by courier are considered small packages. Each package will be opened (except address to HR and Plant manager) and its contents verified against the packing list which will be signed and dated. Packages will be staged in the central receiving area or delivered to appropriate party as necessary.
  • Perform other duties as assigned or outlined by plant management and supervision
    • Trailer Quality checklist,
    • Loading / Unloading checklist

 

 

Shipping:

  • Monitors scheduled releases to coordinate and schedule trucks to meet customer delivery needs by set up Load Plans
  • Generate shipping documentation to include Bills of Lading, Packing Lists, Certificates of Conformance, and Certificates of Analysis according to Customer Requirements.
  • Provide accounting with necessary information to invoice in a timely manner.
  • Investigate discrepancies with the carriers (freight line offices)
  • Schedule truck pick up for scrap waste paper

 

 

Inventory Control:

  • Conduct cycle counts each day for all inventory types.
  • Investigate and reconcile Inventory discrepancies
  • Work with IPR and Production Supervisors to resolve all differences between production reporting quantities and actual quantities moved to Finished Goods.
  • Maintain inventory control records for Warehouse and ensure the accuracy, and completeness, of all inventory items and Finished Goods.

 

Required Skills

BACKGROUND / EXPERIENCE:

  • Warehouse/Transportation experience desired
  • Experience in shipping/receiving, storeroom is a plus
  • Demonstrated use Microsoft Office required include a high proficiency with Excel and Word
  • Demonstrated communication skills both verbal and written
  • Action oriented and demonstrated ability to work with limited direction
  • Demonstrated ability to manage time effectively and successfully handle multiple tasks
  • Certified to drive forklift preferred
  • A thorough knowledge of both receiving/shipping/ inventory systems both computerized and manual
  • Working knowledge of SAP is a must.

 

 

EDUCATION / KNOWLEDGE:

  • High School diploma or equivalent

 

PHYSICAL REQUIREMENTS:

  • Work is completed in an assembly environment; high speed equipment, forklift equipment.
  • Frequent exposure to noise; hearing protection is provided.
  • Frequent standing and walking on concrete surface.
  • Frequent squatting, bending, twisting and crawling on/under equipment.
  • Frequent climbing using ladder and platforms.
  • Must be able to work alone on a regular basis.
  • Occasional lifting up to 50 lbs.
  • Frequent pushing/pulling.
  • Frequent operation of a forklift.
