Role Summary

The Administrative Assistant III provides administrative support for the Mill Manager and Company Executives.  This role requires independent judgment, initiative, and intuition. It also requires a high degree of flexibility and adaptability to balance the often-conflicting needs of employees, management and the business. This role prioritizes and schedules all Executive activities, multitasks, meets critical timelines, and produces deliverables while maintaining the highest level of confidentiality and ethics.

Job Accountabilities

  • Conserves Mill Manager’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information and initiating telecommunications.
  • Maintains Mill Manager’s appointment schedule and overall calendar organization by planning and scheduling meetings, conferences, teleconferences, travel, and other activities
  • Works closely with Executives and Mill Manager to keep them informed of upcoming commitments and responsibilities and following up appropriately.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Answer and screen incoming telephone calls and correspondence collecting details and, requests and timing for follow-up.
  • Arrange conference calls including WebEx and coordinating meeting notices.
  • Manages Mill Manager’s travel plans and itineraries, compiles documents for travel-related meetings when requested.
  • Complete and submit expense reports for Mill Manager
  • Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
  • Create agendas, presentations using PowerPoint, compose internal and external communications including newsletters and transcribes minutes of meetings as required.
  • Create and maintain organizational and budget reports and/or records.
  • Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
  • General office management with professionalism and streamlined organization.
  • Conducts research, compiles, and create statistical reports.
  • Facilitate outgoing mail and correspondence.
  • Other duties as assigned.

Required Experience

Required Qualifications

  • Associates degree in a business discipline and three (3) years of experience in administrative role supporting multiple managers/departments or similar role in a corporate environment supporting senior-level personnel or equivalent military experience: OR
  • High School diploma/GED and five (5) years of experience in administrative role supporting multiple managers/departments or similar role in a corporate environment supporting senior-level personnel or equivalent military experience
  • Ability to handle sensitive information with discretion, integrity, and the highest degree of confidentiality; experience working with and maintaining confidential information
  • Advanced level of proficiency with Microsoft Office applications (Excel, Word, PowerPoint, Outlook, Visio, and Publisher) and Adobe Acrobat
  • Demonstrated ability to work effectively and with a high level of professionalism with Company Executives, customers, visitors, and vendors
  • A desire to serve customers and employees with a positive and professional attitude
  • Excellent written and communication skills
  • Ability to work independently and within a team environment
  • Proven ability to work professionally with outside and inside agencies
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

  • Proven ability to achieve performance goals and meet deadlines in a fast-paced environment
  • Ability to adapt and be flexible to adjust to changing demands, timelines, and deliverables
  • Experience handling calendar and scheduling functions, and expense reporting


 Desired Qualifications

  • Bachelor’s degree in a business discipline
  • Eight (8) years of experience in administrative role including five (5) years of Executive Administrative experience or similar role in a corporate environment supporting senior-level personnel or equivalent military experience
  • Demonstrated organizational and project management experience
  • Expert level of proficiency with Microsoft Office applications (Excel, Word, PowerPoint, Outlook, Visio, Publisher, and SharePoint) and Adobe Acrobat
  • Knowledgeable in manufactured products, sales, and marketing
  • Knowledge of accounting principles and/or development of operating budgets
  • Administrative or office/program coordinator experience
  • Experienced with SAP
