MISSION / SUMMARY:

The Administrative Assistant should be able to assist management and visitors to the area by handling office tasks, providing polite and professional assistance via telephone, mail/email and in person.

 

JOB FUNCTIONS: Job functions include, but are not limited to the following.

  • Must abide by all Safety Policies as set forth by Graphic Packaging
  • Solid, demonstrated clerical/administrative skills
  • Ability to build and maintain databases, as needed
  • Daily and monthly report generation
  • Demonstrated ability to multi- task effectively and meet set deadlines
  • Customer Certificate of Analysis Administrator
  • Monitor special emphasis production and reporting
  • Assist with customer complaint handling and reporting
  • Manage transit damage complaint system
  • Accurately prepare and communicate weekly work schedules
  • Schedule and prepare for meetings and Customer Visits
  • Assist with preparation of presentations
  • Backfill for the Complaint Administrator
  • Backfill for other Admin. Assistants, as needed
  • .

 

BACKGROUND / EXPERIENCE:

  • 5 years of administrative support experience
  • Experience in a manufacturing environment a plus

 

EDUCATION / KNOWLEDGE:

  • High School Diploma or G.E.D. Required
  • College degree preferred
  • Self-starter with demonstrated ability to set expectations and meet them
  • Demonstrated ability to manage multiple priorities in a fast-paced work environment

 

SKILLS:

  • Effective written and verbal communications skills. Must be an effective listener.
  • Proficient computer skills, including the use of Microsoft Office Software, Excel, Word and Outlook
  • Ability to maintain strict confidentiality of sensitive information
  • Ability to communicate appropriately with all levels of the organization and our Customers
  • Impeccable attention to detail
  • Working knowledge of SAP preferred.
  • Working knowledge of Plant Applications System, SAP &/or ISO preferred

 

SCHEDULE DEMANDS:

  • General schedule is an 8-hour M-F assignment, however, employee must be willing to work alternate schedules occasionally; that may include early mornings, nights, and/or weekends and be punctual while doing so.
  • Occasional overnight travel to include flying, driving, riding or by rail.

 

PHYSICAL DEMANDS:

  • Sitting or standing for extended periods of time up to 8-hours.
  • Occasional Lifting up to 20 lbs.
  • Reading computer screen or other electronic devices.
  • Use of various office hand and electrical tools or equipment.
